All employers would probably agree that Attendance is a very vague term to base your figures of employee productivity. Attendance does not guarantee that the employee is justifying his/her compensation paid. If your employee is not engaged at his/her job role, it hardly matters whether they are present or absent or how many hours they are working. They might work for 60 hours a week and still come up with unending lists of pending jobs.
The need for Advanced Attendance
Earlier there used to be registers where employees signed in after coming to and while leaving office. Even with electronic swiping machines or biometric systems replacing such registers, the challenge of accurately quantifying employee productivity still remains. The problem with existing means of tracking attendance is that it only measures the time difference between when an employee comes in at work and the time when he/she leaves for the day.
Though by practice we consider this time as working hours, we all know as fact that there is much more to office than just work. Breaks and networking are an essential part of work. Sometimes however, due to a combination of interrelated circumstances & employee motivation, employees exploit these breaks. Alternatively, there are those habitual late comers and early goers who even fall short of the minimum permissible working hours quite often.
How to link attendance with actual RoI
Just like employing the priciest CxO does not guarantee the enterprise’s profitable business bottom-line, high attendance does not ensure high employee productivity. Intrigued by this business acumen, we at PeopleWorks wanted our cloud solution to be able to positively influence business bottom-line by:
- Accurately measuring the employee’s actual productive hours – Except the first and last biometric swipes, all intermittent swipes during working hours would be calculated as Break Time. While going out the employee swipes-out to start his break and then swipes-in to end it. At the day’s end this Break time is deducted from his actual hours spent at office, i.e. the time difference between the employee’s first and last biometric swipe.
- Tracking and penalizing employees for deficits in minimum working hours – The management sets a grace period or number of instances after which an employee is penalized by either deducting the leaves from his/her leave balance or deducting pre-decided fractions of his salary.
- Effortlessly calculating, approving and rewarding the concept of Overtime – Simplifying the Overtime workflow by enabling employees to apply for and managers to approve, Overtime work from anytime, anywhere. Smooth transition of Overtime data for addition into Payroll is also automated and linked.
- Identifying departments, roles & jobs demanding more resources – Extracting reports on the actual productive hours, break-time and overtime applied & approved for any individual or team for managerial planning & decision making. This also helps in finding the HR trends of any team or department.
